Attorney Relations Specialist
Position Summary
The Attorney Relations Specialist serves as the primary liaison between Louisiana Pain Specialists and attorney offices for Personal Injury (PI) and Workers' Compensation (WC) patients. This position is responsible for coordinating patient intake, scheduling appointments and procedures, facilitating communication with legal representatives, and ensuring a seamless patient experience from referral through treatment. The coordinator plays a critical role in maintaining strong attorney relationships while supporting clinic operations and patient retention.
Essential Duties and Responsibilities
  • Schedule all new patient appointments for Personal Injury and Workers' Compensation referrals.
  • Coordinate and collect required deposits for new patient visits and procedures.
  • Schedule procedures and coordinate logistics with surgery centers and clinic locations.
  • Communicate appointment confirmations, scheduling updates, cancellations, and reschedules to attorney offices.
  • Serve as the primary point of contact for attorney firms regarding patient scheduling and treatment coordination.
  • Maintain positive, professional relationships with attorneys, paralegals, and legal staff.
  • Monitor appointment attendance and proactively follow up on missed appointments to prevent patient case drop-off.
  • Work closely with clinic staff, providers, and surgery centers to ensure efficient scheduling and continuity of care.
  • Maintain accurate patient records, referral information, and scheduling documentation within the electronic medical record system.
  • Ensure timely processing of attorney referrals and assist with resolving scheduling-related concerns.
  • Track and report scheduling metrics, referral trends, and patient follow-up activities as requested.
  • Adhere to HIPAA regulations and company policies regarding patient confidentiality and documentation.
  • Manage attorney administrative services, including scheduling and payment tracking for:
    • Depositions
    • Conferences
    • Trials
    • Narrative reports
Qualifications
Education and Experience
  • High school diploma or equivalent required.
  • Associate degree or higher preferred.
  • Minimum of 2 years of medical scheduling, patient coordination, legal liaison, or healthcare administrative experience preferred.
  • Experience with Personal Injury and/or Workers' Compensation cases strongly preferred.
  • Experience working with electronic medical records (EMR/EHR) systems preferred.
Knowledge, Skills, and Abilities
  • Strong customer service and relationship-building skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office applications and scheduling software.
  • Ability to maintain professionalism and confidentiality when interacting with patients, attorneys, providers, and staff.
  • Strong problem-solving and follow-up skills.
Physical Requirements
  • Prolonged periods of sitting and computer work.
  • Ability to communicate effectively by phone and email throughout the workday.
  • Occasional lifting of office materials up to 15 pounds.
Work Environment
This position is primarily performed in an office setting and requires frequent interaction with patients, attorney offices, providers, clinic staff, and surgery centers. The role demands a high level of professionalism, organization, and responsiveness to ensure exceptional service and efficient patient coordination.
