Clerical Assistant - DA’S Office

Hourly Pay Rate: $15.91 to $23.87

Closing Date: July 06, 2026, or sooner upon receipt of the first 50 application submissions received.

Job Summary: Under general supervision the Clerical Assistant will serve as the first point of contact to the District Attorney’s Office for the general public and for law enforcement. This contact will take place in person or over the phone. The position will receive, classify, consolidate and/or summarize documents received from various government agencies. The position will accurately enter data in a timely manner from various sources into PROTECT, the district attorney case management system, and will transcribe recorded statements.

Essential Duties/Responsibilities:

  • Assists general public and law enforcement in person and over the phone on the status of cases under review, arrest charges, bail, etc. Maintains sign-in boards and connects crime victims to cases as they check in for case reviews.
  • Enter cases into PROTECT, the District Attorney case management database. Review and analyze police reports, gathering the necessary information to make case entries and verifies accuracy of charges and statutes provided. Review and prints criminal records. Locate and attach criminal records into PROTECT.
  • Upon request: provide "no process" letters when cases are not charged, prepare bail release forms; issue work or school excuses.
  • Transcribe and type recordings of jail calls, 9-1-1 calls, forensic interviews, prisoner interviews, and any other recordings used in court proceedings
  • Perform quality control of No Processed cases in PROTECT. Enter data into spreadsheet regarding offsite storage.
  • Performs any and all other duties as may be assigned.

Minimum Education and Experience:

  • High School Diploma or GED Equivalent
  • Current resident of State of Wisconsin
  • One year of office clerical experience that includes customer service, data entry and typing.
  • Willing and able to work recurring weekends as it may be required as part of a regular work week.
  • Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.

Preferred Experience:

  • Experience with entering data into PROTECT, the district attorney case management system.
  • Experience with transcribing recorded statements.

Please Note: Subject to management approval and the needs of the department, this position is eligible to telework at 20%

Required Skills and Abilities: Customer contact with employees or others primarily at a routine level involving basic information exchange. Working with distressed and sometimes emotional individuals in person and over the phone. Information exchange with peers and others outside the organization involving explanation of information and the gathering of factual information, which may include communication of sensitive or confidential nature. Gather information, answer queries, and/or ask for assistance. Read, write and comprehend simple instructions, type reports, short correspondence and memos. Knowledge of all general office equipment computers, copiers, fax machines and multi-line phones.
