Responsible for advancing the operational, analytical, financial, and administrative objectives of the legal department to deliver legal and compliance services efficiently, cost-effectively, and technology-enabled with measurable value creation aligned with the strategic objectives of White Cap.

Manages the department’s strategic imperatives; evaluates, implements and maintains the department’s technology tools (including AI-enabled solutions); develops data analytics and reporting to support decision-making and reporting by the legal department leadership team; administers outside counsel policies, usage and expenditures; serves as the project manager for departmental and cross-functional projects; and assists with Board-level governance.

Major Tasks, Responsibilities and Key Accountabilities

  • Improves and streamlines legal department processes by identifying, assessing, and implementing new processes and/or technologies, and leading change management to drive adoption.

  • Develops key performance indicators, metrics, analytics and dashboards; reports to legal department leadership team, and prepares related executive-level presentations, on legal department efficiencies, savings, expenses, technology advancements and value creations.

  • Assists with managing the department budget, accruals, forecasting and financial reporting.

  • Manages the design, rollout, and training for new systems and processes.

  • Researches, evaluates and executes on emerging technologies, including AI-enabled tools, and supports their responsible adoption and governance.

  • Develops and maintains knowledge management resources, including templates, playbooks, and self-service tools and intake processes for internal clients.

  • Oversees the e-billing and matter management system, including onboarding vendors, fielding questions, and collecting accruals.

  • Develops and maintains relationships with law firm billing departments, and reviews outside counsel invoices for compliance with billing guidelines and identifies cost-saving opportunities.

  • Manages and monitors the legal department’s vendor relationships, including RFP processes.

  • Supports compliance with information governance initiatives, including legal technology, data privacy and security, and records retention.

  • Provides administrative and project support for Board and committee governance matters, including coordinating and posting to electronic board portal of meeting materials.

  • Performs other duties to support the legal department team as needed.

Nature and Scope

  • Solutions require analysis and investigation.

  • Achieves planned results by decisions and actions based on professional methods, business principles, and practical experience. May recommend/make decisions regarding new programs/initiatives that have significant impact to the business and carry consequences in unsuccessful endeavors.

  • Manages a larger team or multiple small teams through direction of subordinate management and/or supervisory staff.

Work Environment

  • Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.

  • Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.

  • Typically requires overnight travel less than 5% of the time.

Education and Experience

  • Typically requires BS/BA in a related discipline. Generally 7+ years of experience in a related field. May require certification. Advanced degree may offset less experience in some disciplines.

Preferred Qualifications

  • MBA, PMP, CAPM, or other relevant project management certification(s), experience, and skills.

  • Development of forms, processes, playbooks, and policies.

  • Experience in e-billing and matter management, billing reviews, and budgeting.

  • Experience in board of directors-level governance matters, including coordinating and posting to electronic board portal of meeting materials.

  • E-billing (Brightflag), entity management (CSC), CLM (Ironclad), and Boardvantage.
